FuelCloud is the first cloud-based fluid management system that modernized how fleet-fueling is done. We set out with an objective to replace the old methods of using card readers with an mobile app and an online platform; to give user power to track inventory, manage drivers and vehicles, receive inventory and fraud alerts, and generate sophisticated reports on the fly. Using our custom-made bluetooth “brainbox,” user gained control over every gallon in their on-site tanks for a fraction of the cost of traditional systems (which only enterprise-level companies could afford).

Project Summary: We’ve interviews drivers and site managers to uncover major pain points of doing their jobs: outdated system for tracking fuel usage due to lack of real time statistics on a fuel tank (which lead to tanks being prematurely empty), undetected fraud (drivers fueling their personal vehicles), and too much demand for grueling manual labor (especially regarding reports and taxes) that can could be solved with automation. We’ve then used these insights to create personas and a feature matrix and proceeded to develop concepts for top-ranked stories.

In essence, the objectives for the system were simple: securely authorize drivers to pump gas, track how much was pumped, and if the tank volume reached a low point, send out an alert to let the site manager know it’s time to send out a jobber to refill it. Aside from the technical complexity, the usability challenge was making the app easy enough to be used by “meat and potato” drivers, who were not digitally savvy, and didn’t have time for even a tiny learning curve.

We’ve put together a prototype for the Fleet Tech Expo used to demonstrate the core functions of the bluetooth device, the mobile app, and the administrative interface. A phone-activated beer keg pump was used to represent how the system would work in real world. The concept was a huge success.

The site had a successful launch in 2016 and the company has received a contract from a major chain convenience store even before going full production.
